About the Role

This is the most important non-clinical position in our clinic. The Client Services Manager is the first voice families hear, the person who holds the space between inquiry and care. You will be our front desk, our intake coordinator, and our operational backbone — often all within the same phone call.

Westlake serves a mixed international and Vietnamese clientele, many of whom are navigating mental health systems for the first time, managing a child's diagnosis, or reaching out in a moment of real distress. Our clients come to us at vulnerable moments. They trust us with information that matters deeply to them — and that trust begins with you. Your instinct for when a call is routine and when it needs to go further will matter more than any system we put in place.

Discretion isn't a footnote here — it's foundational. The standard we hold is closer to what you'd find at a world-class hotel than in a typical clinic. Who someone is, and why they're here, is never incidental information.

This role will grow. We are a clinic at the beginning, and we are looking for someone who wants to grow with us — not fill a static position.

What You Will Do

  • Manage all incoming inquiries — phone, email, and in person — with warmth and clinical attentiveness
  • Conduct initial intake conversations, gather relevant history, and triage appropriately to the clinical team
  • Coordinate scheduling, referrals, and follow-up communications across our clinician roster
  • Serve as interpreter and cultural bridge for Vietnamese-speaking families working with English-speaking clinicians
  • Maintain patient records and documentation with accuracy and confidentiality
  • Liaise with partner institutions including international schools, referring physicians, and external facilities
  • Support day-to-day clinic operations — supplies, logistics, and keeping the space running smoothly
  • Grow into an office management role as the clinic expands

Who We Are Looking For

  • Native Vietnamese speaker with strong, confident English — written and spoken
  • Experience working with international organisations, expat communities, or time spent living or studying abroad
  • Natural emotional intelligence — you read rooms, you stay calm, you know when something needs attention
  • Organised and self-directed; comfortable holding multiple threads without dropping any
  • An intuitive understanding of confidentiality in practice — not just policy
  • Genuine interest in mental health and healthcare — curiosity matters
  • Comfortable with digital tools; experience with scheduling or healthcare systems a plus
