About the Role

This is the most important hire we will make. You are the first voice people hear — often at a moment when they are already feeling vulnerable. They may be calling about a child they are worried about, a family member who is struggling, or something they haven't told anyone else yet. How you answer that call matters enormously.

We are not looking for a medical background. We are looking for someone who is genuinely interested in people, understands the value of this kind of care — perhaps from personal experience — and brings natural warmth and discretion to everything they do. You will learn everything you need to know about how we work. What we cannot teach is how to make someone feel genuinely seen and safe from the moment they reach out.

In practice, you will be the operational heart of the Institute — managing enquiries, coordinating schedules, keeping the space running, and bridging between Vietnamese and English-speaking families and our clinical team. You will be trained on everything. You will not be expected to assess anyone clinically. You will be expected to know when something needs attention and to handle it with grace.

This role will grow. We are building something from the beginning, and the right person will help shape what it becomes.

What You Will Do

  • Answer calls, emails, and in-person enquiries with warmth and attentiveness — you are the first impression of the Institute
  • Have initial conversations with families, understand what they are looking for, and pass them on to the right person at the right moment
  • Coordinate scheduling and follow-up across our team — keeping things running without anyone having to ask
  • Bridge between Vietnamese and English-speaking families and our clinicians, handling interpretation where needed
  • Keep records and documentation accurate and confidential — you will be trained on our systems
  • Liaise with schools, partner organisations, and referring contacts with professionalism and discretion
  • Keep the physical space organised, stocked, and feeling exactly as it should
  • Grow into broader operational and office management as the Institute expands

  • Emotionally perceptive and calm under pressure — you read situations quickly and don't rattle
  • Absolutely discreet — you understand instinctively that what happens here stays here, and why that matters
  • Organised and self-directing — you hold multiple threads without dropping any, and you don't need to be managed
  • Fluent in Vietnamese and English, written and spoken — you move between both naturally
  • Comfortable navigating between cultures and contexts — whether through living or studying abroad, working with international communities, or simply having moved through different worlds in your own life
  • Genuinely interested in the work we do — whether that comes from personal experience, professional curiosity, or simply caring about how people are treated when they're vulnerable
  • Comfortable with digital tools; everything else we will teach you
